
Located in Olivebridge, NY on 385 acres of fields, forests, trails, and streams, the Ashokan Center has provided high quality, innovative outdoor/environmental education programs for K-12 school students and teachers for over 50 years. Ashokan is the home of the world renowned Ashokan Music & Dance programs and also hosts retreats, weddings, as well as a variety of public events, performances and lectures.
Education Administrative Assistant
The Ashokan Center, a 501c (3) not for profit, is looking for a bright, reliable, customer service and detail-oriented Education Administrative Associate. The Education Administrative Associate reports to the Education Supervisor and will help manage all communications with schools as well as play a pivotal role in school trip planning for Ashokan field trips. This position will collaborate closely with other departments and help ensure a safe and positive trip for all students. This is a unique opportunity to work at a leading outdoor education center that celebrates nature, music, history and art.
Key Responsibilities:
- Serve as primary contact person and customer service support on behalf of Ashokan for school staff and administrators
- Oversee registration process for all residential and day school groups, and ensure that contracts and paperwork are sent out and complete
- Ensure schools and educators receive schedules in advance of trip
- Provide the Finance Department with billing and relevant supporting documentation for all school groups
- Ensure effective and positive communication with school staff and administrators regarding all aspects of the program. Communicating with trip coordinators and medical staff not familiar with Ashokan, first time field trippers, so they are clear as to what roles and responsibilities they have prior to their arrival to Ashokan. Give refreshers to returning schools.
- Manage program calendar and cross departmental files (meal sheets, info for housekeeping, etc.)
- Manage the scheduling of meetings as needed by the education leadership team.
- Communicate important logistical information to other departments.
- Assist in other administrative tasks as needed, and develop/improve planning documents as needed to reflect new programs, fees, procedures, etc.
- Work with the Health & Wellness Team to ensure critical medical information including schedule, allergies, intolerances and dietary preferences are communicated to relevant staff including the Executive Chef and fellow education staff.
- Any other tasks set by the Education Supervisor and the Education Operations Coordinator.
Qualifications:
- Extremely well organized and detail-oriented with excellent customer service skills
- Able to take phone calls and respond to emails in a timely fashion
- Flexible and able to work in a fast-paced environment
- Able to work independently and collaboratively with a team
- Proficiency in programs including Microsoft Word, Microsoft Excel, and Adobe Acrobat
- Passion for learning, nature, history, music, and the arts

Pay: $20.00 – $23.00 per hour
