COVID-19 Protocol for General Events

General policy includes Hoots, Public Events, Weddings

Masks are optional in accordance with local and CDC guidelines. If you develop symptoms (Fever or chills, cough, shortness of breath or difficulty breathing, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion or runny nose, nausea or vomiting, diarrhea) or come in contact with someone who is Covid positive within 6 days of the start of an on-site Ashokan Center event or program, do not attend. 

COVID-19 Protocol for 2023 Music & Dance Camps

M&D policy includes public dance/concert preceding or during camp (updated May 2, 2023)

This protocol meets or exceeds current CDC and NY State Department of Health guidelines and is subject to revision based on changing conditions and changes in those guidelines. We’ll notify registered campers if there are any significant changes before camp begins. We trust our caring community to find the right balance of caution and fun within these parameters, to make safe decisions, and to treat fellow campers with respect.

In Advance:

  • We ask everyone to test for COVID-19 in the 24 hours before arrival. 
  • If you test positive, do not attend.
  • If you have COVID symptoms, do not attend regardless of test results. 
  • If you’ve recently recovered from COVID and have been symptom free for 5 or more days without the use of fever-reducers, you may attend.
  • All refund requests due to COVID exposure, or COVID-related concerns will be honored.
  • Overall camp attendance will be limited to provide ample space for distancing.
 

On Site:

  • The Ashokan Center will provide onsite rapid testing upon request or as needed.
  • Anyone who tests positive or develops symptoms consistent with COVID will be asked to leave the event and will be entitled to a refund.
  • Masks are recommended while gathering indoors (except when eating or performing.) N-95 masks can be provided on request. 
  • Whole room exhaust fans in the Performance Hall & Dining Hall will draw a constant stream of fresh air.
  • Daily cleaning includes disinfectant for all door handles, tables, and any frequently touched surfaces.

COVID-19 Protocol for Residential Field Trips (2023)

Safety For All
  • The Ashokan Center is operating in accordance with current NY State and CDC guidelines. Your school agrees to adhere to current NY State and CDC guidelines.
Testing 
  • Prior to arrival, all students and chaperones must be tested using a rapid covid antigen test and have a negative test result.  This should be done the first day before arriving at Ashokan.  Please contact the Ashokan Center if this timeline is a concern.
  • All Ashokan educators will also be tested prior to the start of a residential trip.
  • If a student develops symptoms during a visit, the parent will be contacted by the school and they will be given an antigen rapid test. If a student tests positive for Covid, the student will be quarantined until the parent picks up the child or a school staff member takes the child home.

Masks

  • Mask-wearing requirements are subject to local and state level regulations.  So long as it is not mandated and the Ashokan Center deems it safe, each school may request their preference for masking.
Cleanliness
  • At the Ashokan Center, we pride ourselves on vigorous cleaning and sanitation. Housekeeping sanitizes frequently touched surfaces such as door handles, light switches, water fountains, railings, public restrooms, dining hall tables and benches throughout the day.
Lodging protocols In order to support student safety in the bunkhouses, the following protocols will be in place:
  • Students will be expected to sleep head to foot
  • If required masking becomes reinstated by the state or locally:
    • Students will be expected to wear masks in the bunkhouse except when sleeping, showering or resting (in their own bed).
    • Students will be expected to sleep head to foot
Dining Hall
  • If required masking becomes reinstated by the state or locally:
    • All students and adults will use face coverings when inside the dining hall except during the actual meal when they are eating.
    • When possible we will limit the number of people per table as well as use outdoor picnic tables, weather permitting.
    • Dining room will be set up so there is at least 6’ between tables
Refund Policy 
  • If your visit is cancelled for any of the reasons above, you will receive a full refund of all fees paid, or you can choose to reschedule and apply your fees to a new date that is mutually acceptable. If your visit is cut short for any of the above reasons you will receive a prorated refund based on your deposit and fees at the time of your departure or you can choose to reschedule and apply your fees to a new date that is mutually acceptable.
SPECIAL COVID-19 ADDENDUM
  • All parties acknowledge and accept that the use of the facility is expressly conditioned upon compliance with any New York State, Department of Health, and local guidelines relating to use under the pandemic guidelines for COVID-19. Ashokan will work with the school to make accommodations necessary to comply with any such guidelines. Ashokan expects full cooperation in compliance with any such guidelines. Ashokan expressly reserves the right to cancel any previously approved visit as a result of any such state or local guidelines as they may evolve from the date of the Agreement to the date of the visit.

COVID-19 Protocol for School Day Trips (2023)

Safety For All

Whenever possible, activities will be scheduled in outdoor locations with outdoor and indoor dining options available (weather permitting). The Ashokan Center is operating in accordance with current NY State and CDC guidelines. Your school agrees to adhere to current NY State and CDC guidelines and will submit to a temperature check on arrival.

If a student or teacher develops symptoms Fever or chills (greater than 100 degrees), Cough, Shortness of breath or difficulty breathing, Fatigue, Muscle or body aches, Headache, New loss of taste or smell, Sore throat, Congestion or runny nose, Nausea or vomiting, Diarrhea) or comes in contact with someone who is Covid positive within 10 days of the start of your visit, that individual should not attend. If a member of your school develops symptoms during a visit they will be quarantined.

Masks

Everyone is requested to wear a face covering when indoors and anytime when distancing from others cannot be maintained.
